Formula: Return Rate = (Orders Returned ÷ Total Orders Shipped) × 100

What Is Return Rate?

Return rate is the share of your orders that customers send back. It's one of the clearest signals of how well your product pages, packaging, and fulfillment are matching what customers expect — and every return carries real cost in shipping, labor, and lost or discounted inventory.

Return Rate Formula: How to Calculate Return Rate

The return rate formula is Return Rate = (Orders Returned ÷ Total Orders Shipped) × 100. To calculate your return rate:

  1. Pick a time period — a month, a quarter, or a year — and use the same one for both numbers.
  2. Count the orders you shipped in that period.
  3. Count how many of those orders came back as returns.
  4. Divide returned orders by shipped orders, then multiply by 100.

Worked example

Say you shipped 10,000 orders last quarter and 1,800 were returned. That's 1,800 ÷ 10,000 = 0.18, so your return rate is 18%.

Now add cost. If each return costs you $12 to receive, inspect, and restock, those 1,800 returns cost $21,600 in handling alone. Bring the rate down to 14.4% — a 20% improvement — and you avoid 360 returns, or $4,320 a quarter, before counting any revenue you keep. The calculator above runs exactly this math on your numbers.

Orders, units, or revenue?

Return rate can be measured three ways: by orders (the formula above), by units (items returned ÷ items sold), or by revenue (dollars refunded ÷ dollars sold). The three give different numbers for the same business, especially when customers return one item from a multi-item order. Pick one, apply it consistently, and compare against benchmarks that use the same definition. This calculator uses orders.

What's a Good Return Rate? Industry Benchmarks

Return rates vary widely by category. Apparel and footwear run high because customers order multiple sizes and send some back, while electronics, home goods, and beauty run lower. Use the table to see where you stand.

How to Reduce Your Return Rate

Most returns trace back to a handful of fixable causes. These are the places to start:

  • Better product information. Accurate sizing charts, clear photos, and honest descriptions prevent the "not what I expected" return before it happens.
  • Order accuracy. Wrong-item and missing-item shipments are returns you caused. Barcode-verified picking and packing takes most of them out.
  • Protective packaging. Damaged-in-transit returns are a packaging problem, not a customer problem. Track damage by SKU and carrier to find the pattern.
  • Track return reasons. A return you can't categorize is a return you can't prevent. Capture a reason code on every return and review it monthly.
  • Faster restocking. You can't cut every return, but you can get good returns back into sellable inventory quickly so they stop being a write-off.

How Your WMS Impacts Return Rate

A warehouse management system shapes your return rate on both ends. Upstream, accurate picking, packing, and inventory counts reduce returns caused by wrong or missing items. Downstream, a structured returns process — receiving, inspecting, recording a reason code, and routing the item back to stock or to disposition — turns returns from a pile in the corner into data you can act on and inventory you can resell. SphereWMS gives ecommerce brands and 3PLs real-time inventory accuracy and streamlined returns processing, so fewer orders come back and the ones that do are back on the shelf faster.
